Q Ware takes the guess work out of requesting events by automatically checking space availability as information is entered. If conflicts occur, users are directed to either change their selected space or scheduled time to prevent double booking.
Spaces can be enabled for event scheduling and assigned fee schedules based on hourly or daily rates for each day of the week. Additionally, custom fields added to event forms can be assigned fee schedules to address setup requirements for events.
Events can be grouped into unique categories and calendars to make viewing different types of events quick and easy. Custom approval processes can be created to make sure all stakeholders are notified and approve of the events being requested.
The event calendar gives event administrators an easy interface to view all future events for their organization. Calendar views can be filtered and searched against to narrow down events of interest. Event summaries are available when opening events in the calendar with options to edit. Icons are shown next to event names to tag which events are recurring and/or in conflict.
Event approval management is an optional feature that allows administrators more control over the event booking process and gives all stakeholders a say in whether or not an event should take place. Event requests are assigned approving users based on their category, calendar, or location associations. Events are approved once all assigned users vote to approve.
Q Ware actively guides users when they are creating events to ensure they are conflict free. As locations or dates and times are selected, users will be shown which options will create conflicts. Conflicts can exist between events or based on blocking settings that block specific dates from being scheduled against year-over-year.
Events can be created with assigned schedules to book spaces at regular intervals. Each unique date of a recurring event is checked for conflicts ahead of time and can be approved individually or all at once. Location and custom field fees are applied if the recurring event is scheduled on behalf of an external group. A summary is given once the schedule is built to make it clear when events will be scheduled for.
External group accounts are an optional feature that allow groups outside of an organization to request Q Ware accounts to be able to submit requests. External group users can be given manager privileges to manage their groups' users and request events on behalf of those users. External users are able to view events created for their group, check on approval statuses, cancel events, and communicate with internal event administrators within the application.
The guest event form is accessible through a unique link that allows non-users to submit event requests. Guest event requests can be assigned their own unique approval process and incur fees based on assigned fee schedules. Guest event requesters are automatically notified via email when changes are made to their event request such as approval changes and comments.
Event administrators have the ability to block dates on a year-over-year basis as single dates or as date ranges. Dates can also be blocked based on scheduling rules giving administrators the most flexibility to quickly and efficiently limit the dates users can request events for.
Event administrators have the option to assign fee schedules to event locations. Location fees can be a fixed cost per day or per hour for with the ability to assign discounts. Fees can be assigned to custom fields as well at a fixed or per hour rate to capture additional costs for tasks and services required for events. Fees are calculated automatically and itemized for users as they fill out the event request form.
When preparing for events, work orders for setup tasks or services can be created directly from an event record. Work orders are predated by a select number of days so they are generated when needed making planning for events seamless. Administrators select which event dates to pre-date work orders for depending on when tasks need to be completed.
